Adding Pre-Approval Questions

You can add these questions as custom questions and then based upon their responses give students pre-approval for the activity in CAS Manager. To add custom questions, click the "CAS" tab, and then select a CAS group. Click the "Activities" tab, and then click the black "CAS Settings" button. At the bottom of the page you can click "Add new question" to add your custom questions. I'd recommend listing the questions like "Pre-approval #1: What is the focus of this activity..." and so forth. The questions will show up for each activity, and when a students answer them then the red "New Changes" icon will show up on the CAS Activities Roster next to their name. From there, you can click on the student, and go to their activities without pre-approval and approve the activity if there responses are satisfactory or send them a message if not. On the CAS Settings page you can also independently choose whether you'd like to use the AEF questions.

Uploading Your Students

The main setup step is adding your users to CAS Manager. You can do this by bulk uploading a CSV file (basically a spreadsheet) containing your user information. This step will automatically create CAS groups for your users. Note that these instructions use Windows and Microsoft Excel – the steps may be slightly different for Mac users.

To get started, login to CAS Manager and click the Users tab, and then the black “Import Users” button. The basic instructions for uploading users can be found within the CAS Manager system; this article provides more details.


Save the Upload Template

Once you are on the “Import Users” screen, left click on the “Download our CSV template” link and select “Save Link As” to save the CSV file - or download it here.


























Open the Template File

After saving the CSV template file, open it using Microsoft Excel or another spreadsheet program. You may complete the CSV file by filling in the information by hand. Alternatively, you and your technology coordinator may do a database export of the information, after which you will need to rearrange the data into the required format.

Complete Template

The required fields for each user are First Name, Last Name, and Email. The other fields are optional, although CAS Group is highly recommended.


  • IB Candidate Number – Enter the students' IB Candidate numbers to have this information automatically appear on the students' IB forms.
  • First Name (required)
  • Last Name (required)
  • Advisor – This field enables you to specify that a user should have advisor privileges. You may enter any text in this field to specify an advisor account: “Advisor”, “Yes”, “Y” etc. For students accounts, make sure this field is completely blank. Once you have created advisor accounts, you can upgrade them one-by-one to admin accounts under the Users tab (this is a security precaution). See Section 4.1 for more about advisor and admin accounts.
  • Email (required) – Your users will receive their welcome emails to this address, and will use this email to login to CAS Manager. Users will also receive notification emails to this address. Each user needs a unique email address – if you do not have school email addresses or an email on file for each student, please contact support@eduvo.com and we can provide you with a work around solution.
  • Class Year – Shows up on students profile and help you keep track of students.
  • Program – For example: IB Diploma, IB Middle Years Program, IB Certificate, or any other program that has a service requirement. Shows up on students profile and help you keep track of students.
  • CAS Group (highly recommended) – This field puts students automatically into CAS groups, and creates the CAS groups if they do not already exist. Adding students to CAS groups enables you to create calendar event and deadlines for them, send mass messages, and more; it also enables them to submit IB & CAS documents and log their CAS activities. Note that there is an important choice to be made regarding how to split students into CAS groups: each group will have separate mass messages, calendar events and files. You may want to create separate CAS groups for different class years if you will need to have separate announcements and calendar dates for each year. To get a better sense of how you may want to split up your students into CAS groups, see Section 3.4 (Setup Your CAS Group).

here and select “Save Link As” to download and view a completed example user CSV file.

Save As CSV

Once you have completed the CSV, make sure to save the file in CSV format. In Excel, do this by clicking “File”, then “Save As”.


Once you have clicked “Save As”, then for “Save as type” select “CSV (Comma delimited)”. Then click “Save”. You may then receive a notification asking you to confirm that you would like to save the file in CSV format. Click “Yes”.

Upload File

Click the “Browse” button, and then select the file and click “Open”. Then click “Upload Now” at the bottom of the page (don’t worry, we’ll give you a chance to double check your user data).


Confirm Format

On this page, double check that the correct data from your CSV is being put into the correct data rows. If everything lines up and looks okay, click “Yes, the format looks correct”.


Final Confirmation

On this page, double check that:


  • The CAS groups that will be created are the ones you intended (i.e. there were no typos in the group names and that there won’t be unintended groups created).
  • The total number of student accounts you are creating corresponds to the number of students you intended to add.
  • The advisor accounts you are creating do not accidentally include any students.

Once you have double checked the information, click “Proceed with user import” to create your user accounts and CAS groups. Your users will immediately receive their welcome emails if you proceed. If you want to hold off and introduce CAS Manager at a meeting with students, you can always come back to this point later and upload your users.


Upload Notification

After you upload your users, you should see the confirmation screen shown below. It may take a few minutes for your user accounts and CAS groups to be created. You can proceed to the next setup steps while you are waiting (although your CAS groups may not be available yet). When your users have been added, you will receive a notification email with the subject line “Your Users Have Been Added to CAS Manager”.

If any users do not receive their welcome emails, please ask them to check their spam folders. You can also resend a user’s welcome email by visiting the user’s profile – see Section 4.3.

Group Messages

Personal Welcome Email Template

We recommend that after you upload your students you send out a message to each group introducing them to CAS Manager. Once you are in the CAS group, click the "Messages" tab and then the green "Post New Message" button to compose a message. Be sure to tick the "Notify members via e-mail" checkbox so your students receive the message. Here's a sample message, feel free to edit and personalize:

"Hi IB Students,
CAS Manager is our new online system for the IB and CAS programs. I'll use the program to notify you of IB events, upcoming due dates and deadlines, and anything else related to IB and CAS. You can use the program to submit your CAS activities and documents.

You should have received a welcome email titled "Welcome to CAS Manager!" from noreply@eduvo.com. Click the link in the email to setup your password and get started. If you did not receive this email, let me know and I'll resend it.
